There are 2 role types in Vicodo. They differ in terms of permission level - it means that actions you can take in the application depend on the role assigned to your profile. In this article, we explain their differences and list all the possibilities each role gives you. You will also learn what are the dependencies between them.
Administrator
You are the administrator if you create the Vicodo account from the registration page, not from the invitation. It means that you are the owner of the organization. Therefore, you have the highest permission level and can edit settings concerning other users - operators.
As an administrator, you can:
Team:
- add / remove operators
- assign / unassign licenses
Case management:
- create and manage cases
- decide if cases by default should be password-protected or not, or if it should be mandatory. (Operators can’t turn off password protection when it’s mandatory)
- assign operators to the cases
- unassign operators from the cases
- turn on/off Operators Separation
- add, edit, use and remove custom fields
Appointments:
- schedule, manage and run video or chat meetings
- answer incoming messages from the Live chat & video website widget
- set up your personal booking page
- set up the availability displayed on the booking page
- personalize appointment settings
Calendar:
- integrate Vicodo Calendar with your personal calendar
- see your scheduled meetings
- see all scheduled meetings (even when Separate Operators feature is turned on)
Settings:
- change Global settings concerning your whole organization
- enable Feedback forms and change their settings; for example personalize questions
- edit Branding settings that concern your whole organization
- change language settings for your profile and for the customers
- manage notifications for your profile
- edit your profile settings
- add global quick responses that will be visible to all operators (as an administrator, you can’t see private quick responses added by operators)
- enable/disable Two-Factor Authentication for your account
Subscription:
- manage subscription (for example change billing method)
Integrations:
- implement the Live chat & video website widget on your page and personalize its look and other settings
- integrate Vicodo with other tools Zapier, API, webhooks
Statistics:
- display and filter the statistics concerning all meetings, operators, and appointments number
Operator
If you created your Vicodo account from the invitation email, the role assigned to your profile is the operator.
If you can’t run meetings it means that a license is not assigned to your account. Please contact the organization administrator, who is responsible for assigning the licenses. |
As an operator with the assigned license, you can:
Case management:
- create new cases
- manage cases - when Operators Separation is turned off, you can manage all cases. You can assign and unassign other operators or leave a case. When Operators Separation is on, you can only manage cases assigned to you. You can’t add other operators, and you will not see if other operators are assigned to your case.
- use custom fields added by the administrator
Appointments & chat widget:
- schedule, manage and run video or chat meetings
- answer incoming messages from the Live chat & video website widget
- set up your personal booking page
- set up the availability displayed on the booking page
- personalize appointment settings
Calendar:
- integrate Vicodo Calendar with your personal calendar
- see your planned meetings
- see all planned meetings (only when Operators Separation is off)
Settings:
- change language settings for you and customers
- manage notifications
- add private quick responses, and use global quick responses (set by administrator) in conversations
- edit your profile settings such as name, email address and password
- enable or disable Two-Factor Authentication
As an operator without the license, you can:
- browse through cases
- assign other operators to cases (unless the administrator has turned on the Separate Operators option)
- manage your profile settings
