We designed Vicodo to be an intuitive and hassle-free tool - but we also know that it might be a little overwhelming at first. That is why we created this guide to give you a quick overview of all the main features.
Let’s start with the first screen that you will see after logging in. We call it the dashboard:
Its main feature that you will use to plan all your meetings with customers is creating new cases. Let’s find out how to do it.
-
Creating a case
To begin, click on theicon on the left side of the screen:
You will see that a blue header has appeared at the top of the page. You can now enter your customers' contact details and schedule your next meeting - or send your guests a booking link so they can pick the day and time themselves. If you want to host several people, click Group and switch to the group call settings.

The dashboard
Now that you have created a new case, let us explore the rest of the dashboard features.

-
Case list
Here is the list of your cases. They are sorted from the newest to the oldest - but if one of them requires your attention (for example, you have a new chat message or an incoming call), we will always display it at the top of the list.
You can also use filters to show, for example, only completed cases or only cases assigned to one of your teammates.
-
Case header
In this section, you can see all the details about the upcoming meeting with the client. You can also reschedule or cancel it. If you have not planned an appointment yet, this is where you can schedule it.
-
Case details
In this section, you can find details of your case and customer. Any changes that you make to them are saved in real-time. If you are an administrator, you can add more data fields to this section.
At the bottom of the details section, you will also see all the operators that are currently assigned to this case. You can remove them by clicking on their profile photo or add new ones by clicking on the plus icon.
-
Calendar
This button opens the Calendar page, where you can view all your planned appointments. We will discuss it later in this article. You can also integrate your external calendars with Vicodo.

Video call
Holding video meetings is one of Vicodo's most crucial features. Here is what you will see once you start a one-on-one call:
During your call, you can start sharing your screen by clicking the screen button, take a photo snapshot or start recording. If you are an administrator and have the Enterprise plan, you can also change the snapshot quality in the settings.
-
Chat
In Vicodo, you can also plan chat-only meetings. You can see the chat section in the middle of the screen once you open your case:
The chat window gives you access to more than your previous conversations. You will also see customer feedback and the timestamps that will remind you about sent invitations or operators that joined the case.
By clicking the
button, you also get access to our quick responses feature, designed to make your workflow much smoother.
Quick responses will allow you to create your base of message templates and files. You can then share them with customers with just one click. You can read more about quick responses in this article.

Calendar
This feature helps you organize your workflow and keep an eye on your schedule by showing you a daily, weekly, or monthly overview of your meetings. It also comes in handy when you need to plan new appointments - all you need to do is click your free time slot and choose or add a customer.
If you have a Professional or Enterprise subscription, you can also access the calendars of other team members or your entire team.
You can find out more about the calendar in this article.
