Editing or deleting quick responses might depend on what type of response you wish to change and whether you are an operator or an administrator:
- Private responses - belong to an individual user (an operator or an administrator), and only their owner can edit or delete them.
- Global responses - are visible to all operators. You can only edit or delete them if you are an administrator - this helps you keep communication consistent throughout your company. It also saves your time - if you edit a global response, the change will immediately affect every operator.
How to edit quick responses
1. Go to the Quick responses section in the Settings or click the icon in the chat window and select Manage.
2. On the left, you will see the list of your quick responses. Find the one that you want to edit by typing its title into the search bar or by scrolling down the list, then click on the response to select it.
3. You will see a preview of your selected message. Click the Edit button.
4. You will see the Edit quick response window. You can now make changes to the following sections:
-
-
- Title - it cannot be longer than 64 characters and should be easy to recognize later.
- Content of the message
- Attachment - you can remove or replace an existing attachment or add a new one. You can upload the following types of files:
-
- pictures in JPG, PNG, or GIF format
- text files (for example PDF or DOC)
- spreadsheet files
- archive files.
-
- Access level - if you are an administrator, you can choose if you want your quick response to be global or private. A global response is available to everyone and if you edit it, the change will immediately affect every operator. A private response is visible only to you.
